Volunteer Opportunity: Calgary Fiddlers Association - Board Member Opportunity

Calgary Fiddlers Association is accepting applications for the appointment of new Board
Members. We are looking for community-minded people with a sincere interest in the arts
and youth music education that can bring fresh ideas and interest to a growing organization
with a clear mission and vision.

Brief Association Information:

The Calgary Fiddlers Association is a non-profit society whose mandate is to preserve,
promote and perform all types of fiddling, with particular emphasis on Canadian styles.
Music Education: classical violin students ages 7-18 years old have the opportunity to
learn the art of folk fiddling through individual coaching, weekly group rehearsals and
workshops with some of North America’s best fiddlers and fiddle instructors.
Performance Opportunities: the organization emphasizes cultural and professional
experiences for music students as well as the development of interpersonal skills
through over 120 performances each year at concerts and events locally, regionally,
nationally and internationally. The Calgary Fiddlers Association has been providing quality
music education since 1981.

Commitment:

Member commitment includes in-person attendance for 6-8 board meetings per year and
contributions to committee work as required. Board terms are two to three years (depending on
the position) with the option for renewal.

Volunteer Opportunity: PARK - Sponsorship Coordinator

PARK – Promoting Artists, Redefining Kulture, stands to support emerging artists in the ever-growing arts community. PARK is a not-for-profit volunteer organization run by a group of young Calgarians. Our organization aspires to create opportunities for developing artists to showcase their talents. PARK is currently looking for enthusiastic, creative, and dynamic individuals to join our team:

ROLE:
Sponsorship Coordinator (1)

SCOPE:
- Responsible for tracking the organizations sponsorship activities
- Responsible for managing relationships between the organization and sponsors
- Assisting Director’s team in development of sponsorship materials
- Assisting Director’s team in fund development strategies

RESPONSIBILITIES:
1) Develop and oversee an annual sponsorship budget
a. Providing insight to Director’s team regarding fund development strategies
2) Develop, improve, and update sponsorship materials
a. Sponsorship framework, letters, packages
3) Responsible for tracking and coordination of the organizations sponsorship activities
a. Develop and maintain database to keep track of new and previous sponsorship activities

4) Manage communications with current and potential sponsors

ROLE:
Sponsorship Coordinator (2)

SCOPE:
- Responsible for being the liaison between the organization and the sponsor
- Assisting with tracking of the organization’s sponsorship activities

RESPONSIBILITIES:
1) Assisting with communication with current and potential sponsors
a. Requesting and managing sponsor information and requests
b. Drafting and sending communications to sponsors, coordinating thank you cards and letters
2) Responsible for coordinating sponsorship requirements at PARK Events
a. Maintaining and updating marketing and social media leading up to and after PARK events
b. Help to ensure all sponsorship agreements are met leading up to and after an event
3) Assisting Director’s with research of prospective sponsors as well as initiating contact with potential sponsors

SKILLS:
- Management and organizational skills
- Excellent professional writing and communication skills
- Proficient in Microsoft Office

EDUCATION:
-Post-secondary education with an emphasis in Business, Communications, or Public Relations

Volunteer Opportunity: Lunchbox Theatre - Summer Festival Booths

We're doing booths at the summer festivals again and we need your help!

The first is the Lilac Festival, Sunday May 26, 2013. The festival runs 10am to 6pm; shifts are 2.5 to 3 hours long - the first shift is a little bit longer.

If you would like to help but can't commit to 2.5 to 3 hours or your availability doesn't match up with a shift, we'd still love to have you!Let us know when you can be there.

Volunteer Duties
Say hello to festival attendees and hand out brochures
Encourage attendees to enter a draw for a 13/14 PlayPass
Answer questions about Lunchbox
We'll have an engagement activity again, so you'll also help people do that. Still confirming what it is; you'll be trained at the festival. Nothing complicated!

At least one volunteer must be up handing out brochures at all times, but you can spell off for breaks (to see the festival, get some food or rest) or if you need to sit down.

Dress for the weather - whatever that turns out to be! The event will happen rain or shine, and we do have a tent and a couple of chairs (for breaks). Bring your hats, umbrellas, sunscreen, water bottles, snacks, etc.

Lunchbox staff will be taking care of set up and take down, and will be available by phone at all times if you have any questions during the day.

We need 3-5 volunteers per shift.

Shift 1: 10:00 am to 1:00 pm
Shift 2: 1:00 pm to 3:30 pm
Shift 3: 3:30 pm to 6 pm

DUTIES AND RESPONSIBILITIES:
- Support the needs of the PPF directors and coordinators in the successful running of the annual festival and/or year-round events
- Duties and responsibilities may vary depending on need and can include, but are not limited to: overseeing a Do It Yourself poetry station, leading poetry bomb making workshops, assisting with set-up and/or tear-down at various events, assisting in events promotion, assisting with funding/donation drives, and more
- Meet regularly with PPF organizers to ensure successful planning for the annual festival and other year-round events

TIME REQUIREMENTS:
Approximately 2-4 hours per month, depending on the number of events volunteered for. Additional volunteer hours available leading up to and during the three-day festival.

SKILLS AND QUALIFICATIONS:
- Valid driver’s license an asset
- Desire to support and grow Calgary’s literary arts and/or not-for-profit sector
- Friendly, punctual and reliable
- Flexibility and positive attitude
- Excellent interpersonal and group skills

OTHER REQUIREMENTS:
This position requires regular, easy access to a computer and the Internet. The individual would also need to support the mandate, goal and purpose of The People’s Poetry Festival, with a desire to work with Calgary’s poetry and literary community to grow poetry in Calgary.

ORIENTATION AND TRAINING:
On-site orientation provided. Volunteer training will vary depending upon the type of volunteer hours contributed.

DUTIES AND RESPONSIBILITIES:
- Work with the Director, Events Coordination, and Equipment Manager to ensure the proper set-up, use and maintenance of all technical equipment
- Meet regularly with PPF organizers to ensure successful planning for the annual festival and other year-round events
- Other duties and responsibilities to be determined by the Treasurer in conjunction with the Board of Directors over time

TIME REQUIREMENTS:
Approximately 4-6 hours per month, with additional hours leading up to, during and after the annual festival and year-round events.

SKILLS AND QUALIFICATIONS:
- Valid driver’s license an asset
- Access to a large transport vehicle—such as a truck or van—an asset
- Excellent verbal and written communication skills
- Volunteer experience an asset
- Experience with technical audio-visual equipment—such as microphones, amplifiers, video recorders and more—required
- Interest/support of the Calgary literary arts and/or not-for-profit sector

OTHER REQUIREMENTS:
This position requires regular, easy access to a computer and the Internet. The individual would also need to support the mandate, goal and purpose of The People’s Poetry Festival, with a desire to work with Calgary’s poetry and literary community to grow poetry in Calgary.

ROLE: Equipment Manager

DUTIES AND RESPONSIBILITIES:
- Work with the Director, Events Coordination, to ensure that the annual PPF has all equipment and props necessary
- Source, book, and ensure delivery of all equipment, including, but not limited to: tables, chairs, living room items, desks, projectors, sound equipment and more
- Ensure delivery, storage, and set-up and tear-down of all equipment before, during and after the festival, as well as at various events throughout the year
- Maintain detailed and accurate records of where all equipment items came from; track and provide financial information to Treasurer as required and meet budget restrictions when sourcing rented equipment
- Ensure that all rented items are returned on time
- Meet regularly with PPF organizers to ensure successful planning for the annual festival and other year-round events
- Other duties and responsibilities to be determined by the Equipment Manager in conjunction with the Board of Directors over time

TIME REQUIREMENTS:
Approximately 4-6 hours per month, with additional hours leading up to, during and after the annual festival.

SKILLS AND QUALIFICATIONS:
- Valid driver’s license required
- Access to a large transport vehicle—such as a truck or van—required
- Excellent verbal and written communication skills
- Volunteer experience an asset
- Comfortable working in a group environment
- Experience with finance an asset
- Positive attitude and a willingness to take on a wide variety of tasks

ROLE: Archivist

DUTIES AND RESPONSIBILITIES:
- Construct a comprehensive database of documents and items submitted to, or used during, the PPF year-over-year. Items to be logged include, but are not limited to: poetry submissions, artist biographies and headshots, art submissions, books, photos, sound and video recordings, and more
- Catalogue PPF collections in searchable database
- Work with the Director, Marketing and Communications, in the development of a PPF poetry collection annually
- Work with the Board of Directors to develop a strategic, long-term plan for organizing, tracking and aggregating archival materials
- Meet regularly with PPF organizers to ensure successful planning for the annual festival and other year-round events
- Other duties and responsibilities to be determined by the Archivist in conjunction with the Board of Directors over time

TIME REQUIREMENTS:
Approximately 6-12 hours per month, with additional time spent leading up to, during and after the PPF each year. Regular meetings with the Board of Directors as necessary.

SKILLS AND QUALIFICATIONS:
- Strong written and verbal communication skills
- Volunteer experience an asset
- Strong Microsoft Excel experience required
- Excellent organization skills and attention to detail
- Experience with databases, and/or cataloguing items an asset
- Experience or interest in the literary arts/not-for-profit sector

ROLE: Fund Development Coordinator

DUTIES AND RESPONSIBILITIES:
- Research and complete at least 4 grant applications in 2013 to secure funding for PPF
- Research and network with private and corporate donors to build basis for regular financing
- Work with the PPF Board of Directors to develop strategic plan to secure funding, as well as in-kind donations, corporate funding, grant funding and other sources of support
- Keeps detailed and accurate financial records for all funds received
- Organize and record all funding transactions to provide detailed information to the Treasurer and supports the Treasurer in the development of annual tax returns
- Assists the Director, Events Coordination, in the planning of fundraising events, including sourcing corporate and private individuals to invite
- Meet regularly with PPF organizers to ensure successful planning for the annual festival and other year-round events
- Other duties and responsibilities to be determined by the Fund Development Coordinator in conjunction with the Board of Directors over time

TIME REQUIREMENTS:
Approximately 6-12 hours per month, depending on time needed to source and complete grant applications. Possible increase of time necessary when writing grant applications.

SKILLS AND QUALIFICATIONS:
- Strong written and verbal communication skills
- Grant writing experience required
- Excellent time management skills
- Experience with not for profit organizations required
- Experience with arts organizations an asset
- Familiarity, and/or interest in poetry and the literary arts in Calgary an asset
- Previous volunteer experience required
